Sa Pa sits at 1.600 m in the Hoàng Liên Sơn range, about 320 km northwest of Hà Nội. Since the Nội Bài–Lào Cai expressway opened in 2014 the road has beaten the railway: five to six hours, most of it flat and fast, with the real climb only in the last 38 km up from Lào Cai city.

"Hotel pickup" usually means a small van that shuttles you to the operator's real departure point, where you then wait. Budget an extra 30 to 40 minutes on top of the departure time printed on your ticket.
The driver phones about ten minutes before he arrives and says your name once, quickly. Save the operator's number so you know the call is yours — an unknown Vietnamese mobile number at 6.20 a.m. is easy to decline by reflex.
Shoes come off at the door of a sleeper bus and go into a plastic bag you keep with you. Bring socks. Bring a warm layer whatever the month: Hà Nội can be 34°C when you board and Sa Pa 17°C and wet when you step down.
What about the train?
The overnight train runs from Hà Nội station to Lào Cai, then a one-hour road transfer up the mountain. It is the better story and the worse journey: slower door to door, more expensive once you add the transfer, and you land at around 5.30 a.m. with no room to check into. Take it if you love trains. If you want to arrive rested and get on with your day, take the van.
When to book
Midweek you can usually book 24 to 48 hours out. Friday to Sunday and Vietnamese public holidays, book five to seven days ahead. For Tết and the 30/4–1/5 holiday, three weeks — the route sells out entirely, not partially.

Before you go
Buy an eSIM before you land so you have data the moment the driver calls. Carry small notes — 50.000₫ and 100.000₫ — because nobody at a rest stop has change for a 500.000₫. And pick the van unless you have a specific reason not to.
